How LINKWIZ Inc. handles and protects personal information collected through the L-Git website and related services.

This Privacy Policy describes how LINKWIZ Inc. ("LINKWIZ," "we," "us," or "our") collects, uses, shares, and protects personal information in connection with this website (the "Site") and the LINKWIZ FactoryGit Waiting List and inquiry form (collectively, the "Services"). This Privacy Policy does not cover the LINKWIZ Factory Cloud application itself. Once account registration becomes available, that application will be governed by its own Terms of Service and, where applicable, its own privacy notice.

1. Personal information we collect

Information you provide to us. When you join our Waiting List or contact us through the form on the Site, we collect:

  • Your name

  • Your company name

  • Your email address

  • The type of inquiry you select (e.g. product introduction, partnership, other)

  • Any message you enter in the free-text field

Your name, company name, and email address are necessary for us to process your Waiting List registration or respond to your inquiry. If you do not provide this information, we may be unable to complete your registration or respond to your request. Providing the other information listed above is optional.

Information we collect automatically. When you visit the Site, we and our service providers automatically collect the following information through cookies and similar technologies:

  • Your IP address and approximate location (e.g. country or region)

  • Browser type and version, device type, and operating system

  • Pages viewed, time spent on the Site, and referring and exit URLs

  • Language preference (e.g. whether you viewed the English or Japanese version of the Site)

2. How we use your personal information

We use the personal information described above to:

  • Respond to your inquiries and questions

  • Notify those who have joined the Waiting List when LINKWIZ FactoryGit becomes available, and provide information about early access

  • Operate, maintain, and improve the Site

  • Understand and analyze how visitors use the Site (including in the form of aggregated statistical information)

  • Send marketing communications about LINKWIZ FactoryGit, such as information on new features, events, and campaigns, where you have given your consent

  • Comply with applicable laws, regulations, and legal process

We send marketing communications only to those who have consented to receive them through our forms or by other means. You may withdraw your consent at any time. To do so, use the unsubscribe link included in each email or contact us as described in Section 12.

Except as permitted by law, we will obtain your consent before changing the purposes above beyond what is reasonably related to them, or before using your personal information beyond the scope of these purposes.

3. Legal bases for processing (where the GDPR or UK GDPR applies)

Where the GDPR or the UK GDPR applies to our processing of your personal information, we rely on the following legal bases:

  • Consent. We process the following based on your consent:

  • Marketing communications (where you have consented through our forms)

  • Understanding how the Site is used through analytics cookies (e.g. Google Analytics)

  • Use of functional and marketing cookies (where you have consented through our cookie banner)

You may withdraw your consent at any time, either through the unsubscribe link in each email or through the "Cookie Settings" link in the footer of the Site. Withdrawal does not affect the lawfulness of processing carried out before withdrawal.

  • Steps taken at your request prior to entering into a contract.

  • Notifying you when LINKWIZ FactoryGit becomes available, and providing early-access information, based on your Waiting List registration

  • Responding to inquiries about introducing the product

  • Legitimate interests. We process the following based on our legitimate interests:

  • Operating, maintaining, and securing the Site (including the use of necessary cookies and server logs)

  • Responding to partnership and other inquiries

We do not rely on legitimate interests where they are overridden by your interests or fundamental rights and freedoms. You may object at any time to processing based on legitimate interests (see Section 8).

  • Legal obligation. Where processing is necessary to comply with applicable law.

4. Cookies and similar technologies

We use cookies and similar technologies to operate the Site, understand how it is used, and, where applicable, support marketing activities. These are managed through CookieYes (operated by CookieYes Limited), our cookie consent management platform.

Categories of cookies:

  • Necessary cookies: Required for the Site to function properly (e.g. remembering your cookie preferences). These cannot be switched off.

  • Analytics cookies: Help us understand how visitors use the Site (e.g. Google Analytics).

  • Functional and marketing cookies: Used by third-party tools such as HubSpot to support form submissions and, where applicable, marketing follow-up.

Your choices. When you first visit the Site, a banner will ask for your consent to non-essential cookies. If you decline, only necessary cookies will be set. You may choose separately whether to consent to analytics cookies and to functional and marketing cookies. You can change your preferences at any time using the "Cookie Settings" link in the footer of the Site.

  • HubSpot (HubSpot, Inc.)

  • CookieYes (CookieYes Limited)

5. How we share your personal information

We do not sell your personal information. We may share it with:

  • Service providers who process personal information on our behalf to help us operate the Site and the Services. These include HubSpot (form submissions and marketing communications), Google (analytics), and CookieYes (cookie consent management).

  • Professional advisors, such as lawyers and auditors, to the extent necessary for their services to us.

  • Authorities or third parties, where required to comply with applicable law or legal process, or where necessary to protect the rights, property, or safety of LINKWIZ, our users, or others.

  • A successor entity, in connection with a merger, acquisition, reorganization, or transfer of assets.

6. International data transfers

6.1 Overview

LINKWIZ is based in Japan, and the Services are provided from Japan. The Site may also be accessed from outside Japan via the internet. Some of our service providers may handle personal data in countries other than your country of residence (such as the United States).

6.2 Transfers to third parties in foreign countries (under Japan's APPI)

We entrust the handling of personal data to the following service providers to operate the Services:

  • Google LLC (United States): analytics and tag management (Google Analytics, Google Tag Manager)

  • HubSpot, Inc. (United States): management of inquiry form and Waiting List registration information

  • CookieYes Limited (United Kingdom): cookie consent management

We have entered into data processing agreements or similar arrangements with these providers. Through these arrangements, we have established a system under which each recipient continuously takes measures consistent with the purpose of the provisions of Chapter 4, Section 2 of Japan's Act on the Protection of Personal Information (the "APPI") (the "Equivalent Measures") (Article 28, Paragraph 1 of the APPI).

At least once a year, we check the following, using materials published by each provider and other means:

  • How the recipients are implementing the Equivalent Measures

  • Whether the recipient countries have any systems that may affect that implementation

Under Article 28, Paragraph 3 of the APPI, you may request information about the recipients' systems and the measures we take. To make a request, please contact us as described in Section 12.

6.3 Transfers where the GDPR or UK GDPR applies

Where the GDPR or the UK GDPR applies to our processing and we transfer personal data to countries without an adequacy decision, we implement appropriate safeguards in accordance with applicable law. These safeguards include:

  • The Standard Contractual Clauses adopted by the European Commission

  • The UK's International Data Transfer Agreement (IDTA) or International Data Transfer Addendum

  • Other transfer mechanisms recognized by the relevant authorities, including the EU-U.S. Data Privacy Framework

You may request a copy or summary of these safeguards by contacting us as described in Section 12.

6.4 Transfers from other countries and regions

Where we transfer personal data of individuals located in other countries or regions outside those described above, we implement appropriate safeguards, such as contractual measures, in accordance with the data protection laws of those countries or regions. We remain responsible for personal data transferred internationally in accordance with applicable law.

7. Data retention

We retain personal information only for as long as necessary to fulfill the purposes described in this Privacy Policy. Our general retention periods are as follows:

  • Waiting List and inquiry form data is generally retained for three years from your last communication with us (such as an inquiry or email exchange), and then promptly deleted.

  • Records of your consent to marketing communications are retained while your consent remains valid, and after withdrawal for as long as required by law.

  • Information needed for legal, accounting, or compliance purposes may be retained for longer than the periods above.

Even within these periods, if you ask us to delete your personal information, we will promptly delete it unless we are required by law to retain it.

8. Your rights and choices

Where the GDPR, the UK GDPR, or other applicable law grants you such rights, you may have the right to:

  • Request access to the personal information we hold about you

  • Request correction of inaccurate or incomplete information

  • Request deletion of your personal information

  • Object to, or request restriction of, certain processing

  • Request that we transfer your information to another party (data portability)

  • Lodge a complaint with your local data protection supervisory authority

Because LINKWIZ is a business based in Japan, you may also make requests under the APPI regarding personal data we hold, wherever you are located. You may request disclosure, correction, suspension of use, deletion, and other actions.

To make a request, please email the address listed in Section 12 (How to contact us). We will first verify your identity using your registered email address or another method we specify. We will then generally respond by email. We do not charge a fee.

All users may:

  • Opt out of marketing emails using the unsubscribe link included in each email

  • Change cookie preferences at any time using the "Cookie Settings" link in the footer of the Site

To exercise any of these rights, please contact us using the details in Section 12.

9. Children's privacy

The Site and the Services are intended for business use by professional users, such as company representatives, and are not directed to children. We assume that anyone using the Site does so as an adult acting in a professional capacity on behalf of a business. We do not knowingly collect personal information from anyone under 18 years of age. If you believe we have inadvertently collected such information, please contact us using the details in Section 12, and we will promptly investigate and take steps such as deletion where appropriate.

10. Security practices

We take organizational, personnel, physical, and technical measures to protect personal information from unauthorized access, use, disclosure, alteration, or destruction. These include:

  • Appointing a person responsible for handling personal information

  • Training our employees

  • Controlling access

  • Taking measures to prevent unauthorized access

We may also handle personal data in foreign countries, such as the United States, through our service providers. In such cases, we take security measures based on an understanding of the personal information protection systems of those countries.

However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.

11. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the "Last updated" date at the top of this page and, where appropriate, provide additional notice. We encourage you to review this page periodically.
